Taste of Auburn Hills Vendor Restaurant Confirmation Form

Dear Taste Vendor,   

Thank you for your participation in the upcoming Taste of Auburn Hills on Thursday, October 6, 2022, at the The HUB Stadium. We hope you’ll take advantage of all this signature event has to offer. To confirm your in-kind sponsorship, please read the provisions below, sign and return (scan or take a photo and email) to the Chamber office by FRIDAY, SEPTEMBER 9, 2022.

Please read carefully. To ensure a positive experience, you are required to: 

Comply with the State of MI Food Law and other regulations - Any restaurants that have questions about the State of Michigan Food Law or need further clarification on Oakland County Health Department regulations can contact the Chamber directly. More information can also be found on the State and County websites. 

Complete all required Oakland County Health Department paperwork by Wednesday, September 14, 2022 (this paperwork will be emailed to you soon) - Oakland County Health Department paperwork must be completed and submitted to the Chamber office no later than August 30. Please submit your Health Department paperwork early to allow time for questions. All restaurants should expect a follow-up call from the Health Department to review all paperwork and go over questions.

Provide the Chamber with your food selections by Wednesday, September 14, 2022 - Selections should be a main dish or signature appetizer/side. Menu choices are processed on a first come, first serve basis to avoid duplications. Please be prepared with a second menu choice. Submitting your form prior to the September 14 deadline will improve your food options.  

Prepare food offsite, as onsite prep is not available at this venue - Onsite preparation is not available at this venue. The Chamber will not be pulling any additional licenses for onsite prep. The following list are actions that do not require the additional license: transporting food, thawing ready-to-eat food, hot/cold holding, and simple cutting, slicing or handling of product for service only. Please contact the Oakland County Health Department at 248.858.1312 with any further questions.

Provide appropriate tastings for 300-400+ guests - Plan to have a taste of your food for that many people. The Chamber will communicate our event numbers leading up to the event to all participating vendors via email. It may slightly vary up or down. We will provide sufficient time for restaurants to prepare accordingly. 

Provide the necessary utensils, napkins and plates - The Chamber is not responsible for providing any necessary utensils, napkins and plates for each vendor’s specific food item. We require each vendor to plan for 300-400+ guests with supplies to spare. The Chamber can provide contacts to local retailers that can supply these materials in bulk upon request. 

Arrange all materials required to transport and serve food, regulate temperatures, etc. - Neither the Chamber nor the venue will be providing materials such as carts, dollies, etc. to transport any materials required by your station for the event. Please keep the following items in mind as supplies to bring to the event: chafing dishes, sterno(s), thermometer, serving utensils, disposable gloves, etc.

The Auburn Hills Chamber of Commerce will provide:

2022 Oakland County Health Department regulations - These regulations will be submitted by the Chamber, directly to the designated representative from the Oakland County Health Department. The Health Department representative will also be on site at the event to conduct inspections to ensure all food is at the proper and safe temperature, stations are sanitary, all extra food is stored properly, etc.  

One 6-8’ table with linen and table signage - The Chamber will be predetermining the placement of all restaurants based on food choice and availability. No special requests will be accommodated. The Chamber will, however, take into consideration any electrical needs your station may have to comply with Health Department restrictions and regulations. Restaurants are also encouraged to keep an “autumn” theme in mind.  

Access to the venue for set-up at 2 pm (inspections must be completed by 4 pm) - All restaurants must be set up by 4:00 pm. Restaurants must bring any equipment necessary to transport food and supplies to their location within the venue. Again, do not plan on using Chamber or venue dollies or staff to unload/load. 

Public relations, advertising and promotion throughout the community, including Oakland Press placement, billboards, invitations, flyers, brochures and more - Restaurants and participating vendors must submit this form no later than FRIDAY, SEPTEMBER 9, 2022, to ensure inclusion in any public relations, advertising and promotions. Only restaurants that submit their forms on time will be considered for extra publicity.

The processing of all ticket sales and all operations - The Chamber will manage all logistics of the Taste of Auburn Hills event. Restaurants will solely be responsible for the transportation and serving of their food. 

Due to the immense pre-planning and detail of this event, as well as advertising and promotional expenses associated with marketing all participants, vendors who withdraw from the agreement to participate in the Taste of Auburn Hills after SEPTEMBER 14, 2022, will be subject to pay a fine of $250 to the Auburn Hills Chamber of Commerce.
